As a Chartered Accountant who also builds AI systems, I get asked this question constantly: “Can AI replace my accountant?” The short answer is no. The more useful answer is: AI can replace most of what you personally do in accounting software every week.

What AI Can Handle Today

Invoice Generation

Describe the job in plain language. Claude or ChatGPT formats it into a professional invoice with line items, tax calculations, and payment terms. Takes 3 minutes instead of 20.

Prompt to copy:

Generate a professional invoice for: Client: [name], Services: [description], Amount: [total], Payment terms: 30 days. Include my business name [name] and bank details [sort code/account]. Format with line items and VAT at [rate]%.

Payment Reminders

Set up n8n to automatically send payment reminders at 7, 14, and 30 days past due. No manual chasing. Most businesses recover 15–25% more overdue invoices within 30 days of implementing automated reminders.

Expense Categorisation

Upload bank statements or receipts to Claude and ask it to categorise expenses by type. Not a replacement for your accounting software, but a useful first pass that saves 2–3 hours per month.

  • Anything where a wrong answer has legal or financial consequences

AI gives you a starting point. A qualified accountant (like an ACA or CPA) gives you the final answer you can act on with confidence.
